Default Info / Roll call for FMO / DoubleR Performance Sarasota Hyatt weekend event March 31

Further to Eric’s e mail circulated on January 10th, this is your formal notification that FMO will accept your registration for this years weekend event at the Hyatt in Sarasota. If you are considering attending this year please read the information below carefully to understand the steps to be taken to register for this popular event. We hope you can join us.
Bob & Eric

The following is the clubs planned itinerary for the weekend:

Departure: We will leave for Sarasota from our usual rally point, the Sanibel Bridge at 10 AM sharp on Friday March 31/17. Pace boat - Bob will start the group in his Nor Tech and lead the group up the ICW to Boca Grande Pass where we will stop for a few minutes to let the back of the pack catch up. From there he will lead the group out through Boca Grande Pass and on up to Sarasota. Eric will be attending however due to a heavy workload with his business at that time of year will drive up for Saturday and meet us there.

Routing / Distance: The distance each way is about 82 miles +/-. We will take the ICW to Boca Grande Pass and after re grouping there run offshore to Sarasota. We will re enter the ICW at Big Sarasota Pass and proceed to the Hyatt. If the Gulf is too rough, we will run the ICW all the way up. Trip time is just under 2 hrs running off shore and close to 3.5 hrs via ICW.

Communications: Inter boat communication will be by VHF channel 72. Also Bob’s cell number is 239-776-0481. Anyone dropping out should call and leave a message.

Friday afternoon /evening: We have not made any immediate plans for after our arrival on Friday with so much happening on Saturday. It will be a good chance to unwind and relax by their gorgeous pool or hang out at the boats. Traditionally smaller groups have gotten together for dinner either at the Hyatt or alternatively go out to one of the many great restaurants in Sarasota. We will post some recommended restaurants closer to event time. After dinner we can meet and socialize at the Hyatt lobby bar is a nice venue.

Saturday April 1st optional lunch / fun run: We will idle out of the marina at 10:45 AM in time for a 11:00 AM departure for an optional lunch run to the Blu Mangrove Grill on the Manatee River in Palmetto. As in past years some local area boaters may join us for the run. After lunch all boats will run back to the Hyatt. Free time for the rest of the afternoon.
Saturday evening. 6:30 - 7 PM pre dinner poolside cocktail party then dinner for the entire group from 7 to 8:30 PM. We will again be having our dinner on the patio adjacent to the pool which is a gorgeous setting. After dinner, we will have a party from 8:30 till 11:30 PM in either the Boathouse or the Tropics Room overlooking the pool / marina. Arrangements have been made for a DJ as we have done in past years.

Charity Auction: It is our intentions to hold an auction at our Saturday evening dinner to raise funds for FMO’s student scholarship foundation. FMO has now raised and distributed over $ 220,000.00 in scholarships to worthy SW Florida students over the years. If you have an item you would like to donate to the auction please contact Eric to discuss. Our past auctions have had some interesting items that have greatly helped our fund raising efforts.

Sunday return to Ft. Myers / Cape Coral area
. The main group will leave the Hyatt after breakfast at 10:30 AM ish. Some may choose to leave earlier or later. Perhaps some will want to stop for lunch as we get close to home with their group. We will leave it up to each to make their own plans on that.

Boat slips: FMO has all 30 boat slips in the marina booked for our group. Also a very limited amount of rafting should accommodate an additional 4 boats. Slip reservation is to be done thru FMO not the Hyatt. ( Bob will be the contact person ) A slip can only be reserved after your hotel room is booked, event fees paid and your insurance details provided to Bill Lemanske unless you have already done so.

Hotel rooms: Standard hotel rooms are $ 239.00 per night plus tax for single or double occupancy. You may book your room online quickly and easily by going to this link which is customized for our event : https://aws.passkey.com/go/FtMyersOffshore2017 No group code is required if using the Passkey link mentioned. The Hyatt phone number is 941-953-1234 if you have any special requirements. Be sure to tell them you are part of the Ft. Myers Offshore Group. Please make sure that your hotel room(s) are booked soon while there is availability.

Captain's event fee: The Captain's event fee payable to FMO is $175.00 which is $ 75.00 higher than his passengers to cover the cost of your boat slip at the Hyatt marina for 2 nights includes a gratuity for the dock master. Your fee also covers the Saturday dinner and after party with DJ. If you are staying on your boat and / or require shore power, there is an additional charge of approximately $ 10.00 per day payable directly to the Hyatt. The Captain’s event fee must be paid before we will assign you a boat slip and is non refundable in case of cancellation.
FMO crew / attendee event fee: There is an event fee payable to FMO of $ 100.00 for each boat passenger as well as any who may choose to drive. That amount covers all your weekend activities including your 3 course dinner (menu to be circulated to participants at a later date) Saturday evening, the party that follows in either the Boathouse or the Tropics Room and the cost of the DJ. There will be a cash bar. Since FMO has to cover certain fixed costs with guaranteed minimums we cannot have people opting out of dinner and just showing up for the party. So if there are 4 people on a boat or driving, 4 people will have to pay the event fee. That allows us to meet out contractural obligations to the Hyatt. Any surplus funds over our cost will go directly to FMO's student scholarship fund. Please pay for the minimum number of crew that you are expecting by January 30th to help the club meet it’s financial obligations to the Hyatt. You may add additional attendees and pay for those up to 2 weeks prior to the event.

Pricing summary: As an example of a typical boat with 4 people on it, the Captain would pay $175 plus $ 300 for 3 additional guests (3 x $ 100 ) for a total of $ 475.00 payable to FMO.
Payment of your event fee: Since this is a rain or shine event, we are asking that you either pre pay on our website www.ftmyersoffshore.com under events using PayPal, credit card or mail in your FMO event fee once you have reasonably determined how many people will be on your boat keeping in mind the deadlines set out above. We have signed a contract with staged deposits to the Hyatt so prepayment is necessary for the club to meet it’s obligations. Also your board members do not want to spend a lot of their time in Sarasota dealing with money. They should be there to enjoy the event like everyone else.
You can pay using PayPal by going to www.ftmyersoffshore.com . Under “Events“ you will will see separate “Add to Cart“ buttons for the Captain and crew for event # 7, "Hyatt in Sarasota ". If you do not use Paypal you may use a credit card by clicking on the “Donate” button. Please add a notation of what the payment was for.
OR
Make your check payable to FMO and mail to our club treasurer at:
FMO, C/O IBR Realty, 953 N. Collier Blvd; Marco Island, FL 34145
Att: Hans Haedelt

Summary of how to register for this event: Registration must be in writing to Bob by text or e mail ( see contact info below ) and not via Facebook or OSO this year. There are conditions and timelines to follow that are set out in the content of this roll call. Make sure you follow these simple steps:

Step 1 - let Bob know your intentions to attend in writing
Step 2 - make sure Bill Lemanske ( E mail - [email protected] ) has your boat insurance information Note - with Eric’s increased workload Bill is now keeping track of members insurance
Step 3 - reserve your hotel room(s)
Step 4 - pay the Captains fee and if possible crew fee for at least some of your crew ( Note we are asking that all remaining crew / attendees fees be paid not less than two weeks prior to the event.
Step 5 - confirm to Bob when steps 2, 3 and 4 have been completed to be placed on the Hyatt boat slip list.

Upon completion of these steps a confirming e mail will go out to you from Bob. Also as with all FMO events, it is a requirement to have your 2017 membership paid up.

Pictures: Club photographer Jay Nichols will be joining us for the Sarasota weekend. At this point in time we are unsure where Jay will be positioned to shoot the club boats but will eventually advise you on that. Here is a link to Jay’s Flickr page from one of our past Sarasota events: https://www.flickr.com/photos/jay2bo...7640426503963/

Weather / Sea Conditions: To be posted 5 days prior to the event on an OSO thread and updated daily if any change. Referencing: NOAA Marine Weather and The Weather Channel

Safety: Each boat Captain is required to operate his / her vessel in a safe manner and is responsible for the safety of the crew and their safety.
